GENERAL JOB DESCRIPTION

The Event Services Coordinator collaborates closely with the Director of Event Services. This role involves executing tasks that facilitate the organization and management of events, including but not limited to weddings, corporate meetings, trade shows, and academic functions. The Coordinator acts as a vital link between clients and the event execution team, ensuring that all aspects of the event are carried out smoothly and efficiently.

MAJOR DUTIES AND RESPONSIBILITIES

  • Respond promptly to inquiries from potential clients regarding event space reservations.
  • Arrange meetings with clients to discuss event specifics and logistics.
  • Review and manage requests submitted through the Event Management System.
  • Maintain regular communication with the Facilities Department regarding event setup and dismantling.
  • Address any inquiries related to event scheduling on campus.
  • Coordinate pre-event preparations, including invoicing, insurance documentation, and liaising with relevant campus departments.
  • Support other departments, such as marketing and security, in event readiness.
  • Assist the Director during events with logistical tasks, including signage and client reception.
  • Provide operational planning support and administrative assistance to the Director.
  • Oversee the student AV Tech Crew under the guidance of the Director.
  • Manage the inventory of audiovisual equipment.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree or equivalent experience.
  • Degrees must be from accredited institutions.
  • Strong communication and interpersonal skills.
  • Attention to detail is essential.
  • Ability to cultivate and maintain relationships with clients and stakeholders.
  • Comprehensive understanding of business practices within client relations.

Experience

  • Proficient in Microsoft Office Suite.
  • Excellent organizational and communication abilities.
  • Comfortable with telephone communication.
  • Commitment to providing exceptional customer service.
  • Detail-oriented approach to tasks.
