GENERAL JOB DESCRIPTION

The Event Services Coordinator collaborates closely with the Director of Event Services to ensure the successful execution of various events, including but not limited to weddings, corporate meetings, and academic gatherings. This role involves acting as a primary point of contact for clients, facilitating the planning and implementation of their event visions.



MAJOR DUTIES AND RESPONSIBILITIES

  • Respond promptly to inquiries from potential clients regarding event space reservations.
  • Organize meetings with clients to finalize event details and layout.
  • Review and manage all requests submitted through the Event Management System.
  • Maintain communication with the Facilities Department to coordinate event setups and breakdowns.
  • Address any scheduling inquiries related to campus events.
  • Oversee pre-event preparations, including invoice generation, insurance documentation, and interdepartmental coordination.
  • Support marketing and security teams in the lead-up to events.
  • Assist the Director during events with logistical tasks such as signage, client reception, and staff coordination.
  • Provide operational planning assistance and clerical support to the Director.
  • Supervise the student AV Tech Crew under the Director's guidance.
  • Manage the inventory of audiovisual equipment.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree or equivalent experience.
  • All degrees must be from accredited institutions.
  • Exceptional communication and interpersonal skills.
  • Strong attention to detail.
  • Ability to cultivate and maintain relationships with clients and stakeholders.
  • In-depth understanding of business practices within client relations.

Experience

  • Proficient in Microsoft Office Suite.
  • Strong time management and communication abilities.
  • Comfortable with telephone communication.
  • Commitment to delivering excellent customer service.
  • Detail-oriented approach to tasks.
