Job Summary and Responsibilities:
The following duties represent a range of responsibilities performed by the employee and are not exhaustive:

  • Data Management: Engage with Circet USA and client tracking databases to input updates, monitor work progress, and ensure the accuracy of work trackers.
  • Process Development: Participate in the creation, testing, and implementation of new processes, documentation, web applications, and field software databases.
  • Work Assignment: Dispatch tasks to contract inspectors through email or online database applications.
  • Training Coordination: Oversee and track training for Circet USA personnel and contracted vendors as necessary.
  • Issue Resolution: Collaborate with vendor teams to address challenges that arise during construction, including resolving complaints from affected citizens.
  • Municipality Liaison: Act as a representative for municipalities, managing permitting, traffic control, and community impact concerns related to OSP work.
  • Invoice Processing: Manage invoice processing within project workflow databases, ensuring adherence to Circet USA accounting standards.
  • Field Approval: Serve as the initial field approver for necessary changes identified in the field, collaborating with engineering and vendor teams for potential solutions.
  • Team Collaboration: Uphold Circet USA values and work collaboratively with team members across various departments.

Additional duties may be assigned as required.

Qualifications:

  • Minimum of 2 years of experience in Project Administration, Project Management, OSP construction, or relevant fields.
  • A college degree is preferred but not mandatory.
  • Proficient in Microsoft Word and PowerPoint; comfortable with Microsoft Excel, including form development and hyperlink usage.
  • Must possess and maintain a valid driver's license and a satisfactory driving record.

Knowledge, Skills, and Abilities:

  • Ability to collaborate effectively with team members to ensure timely and quality completion of tasks.
  • Willingness to learn the current Circet USA cost center coding.
  • Desire to continuously learn new systems and applications.
  • Basic understanding of the as-built process for concluding OSP construction projects.
  • Comfortable in a fast-paced work environment.
  • Strong leadership and decision-making capabilities.
  • Ability to influence others to achieve project goals.
  • Capacity to work independently while applying sound judgment in various situations.
  • Proficient in multitasking and collaborating with personnel to meet deadlines.
  • Excellent verbal and written communication skills, with a keen attention to detail and organizational abilities.
  • Adept at working within critical deadlines and adapting to rapidly changing priorities.
  • Commitment to providing exceptional customer service.
  • Effective conflict resolution skills.
