Healthcare Practice Manager

Responsible for managing the daily functions of a primary care facility, emphasizing the relationships between physicians and staff, service excellence, and financial oversight. This role effectively synchronizes clinic operations by aligning administrative protocols, physician preferences, and patient requirements.
Key Responsibilities
- Leadership
- Oversees all front and back office personnel. Facilitates weekly staff meetings and serves as a communication bridge between support staff and physicians.
- Handles all facets of practice staff employment, including recruitment, performance evaluations, and disciplinary measures. Maintains accurate employee records and timekeeping, ensuring compliance with payroll processes. Provides guidance on continuing education for staff and monitors physician contracts for adherence.
- Exhibits a strong customer service orientation. Responds promptly to patient grievances and staff conflicts, fostering a culture of service excellence. Maintains open lines of communication with hospital departments, referring physicians, and clinical staff.
- Operational Management
- Authorized to procure daily operational supplies and manage inventory levels for office and medical supplies. Implements effective cost control measures.
- Develops and oversees operational, manpower, and capital budgets. Prepares and submits various operational and financial reports as required. Ensures adherence to financial and operational budgets while maintaining knowledge of coding practices to optimize reimbursement.
- Supervises billing and collections processes, ensuring compliance with provider agreements and collection policies. Develops and implements policies related to scheduling, billing, and collections, maintaining a collection ratio of 95% for collectible accounts.
- Maintains acceptable accounts receivable aging, particularly for patient balances due, ensuring days in accounts receivable remain at 55. Strives for a 20% point of service collection ratio and a new patient ratio of 10% or higher.
- Quality Improvement
- Ensures compliance with insurance policies and regulatory standards, including OSHA, CLIA, and COLA. Regularly updates compliance documentation.
- Manages and tracks physician employment benefits, including Allowed Time Off (ATO) and professional development opportunities.
- Adheres to universal precautions when performing tasks that may involve exposure to blood and body fluids, utilizing appropriate personal protective equipment.
- Participates in organizational processes to identify safety hazards and management issues, adhering to established safety policies and procedures.
- Additional Responsibilities
- Performs other duties as assigned or requested.
- Experience: Minimum of 3 years in healthcare operations support, including 2 years in a management role, or a Bachelor's degree with 2 years of management experience.
- Education: High school diploma or equivalent.
