Operational Coordination

Leadership Responsibilities
Supervises all front and back office personnel. Conducts weekly staff meetings and serves as a liaison between support staff and physicians. Manages all aspects of staff employment, including interviewing, performance evaluations, and disciplinary actions. Maintains accurate employee records and time cards, reporting total hours worked to payroll. Facilitates ongoing education for all staff members and monitors physician contracts for compliance.
Customer Service Focus
Exhibits a proactive customer service attitude, addressing patient complaints and employee conflicts promptly to promote a positive environment. Maintains open lines of communication with hospital departments, referring physicians, and staff physicians. Engages in continuous quality improvement initiatives that encompass both departmental and interdepartmental activities.
Program Management and Daily Operations
Authorized to procure daily operational supplies while maintaining inventory control of all office and medical supplies. Ensures effective cost management and prepares operational, manpower, and capital budgets. Submits various operational and financial reports as needed, adhering to budgetary constraints. Maintains a thorough understanding of coding practices to optimize reimbursement.
Billing and Collections Oversight
Oversees billing and collection processes, ensuring compliance with provider contracts and collection policies. Develops and implements policies related to scheduling, billing, and collections, maintaining a collection ratio of 95% for collectible accounts. Monitors accounts receivable aging, particularly for balances due over 90 and 120 days, while striving to maintain industry standards in compensation and benefits.
Quality Assurance and Compliance
Ensures adherence to insurance policies and procedures, as well as OSHA, CLIA, and COLA standards. Regularly updates compliance protocols and administers physician employment benefits, including Allowed Time Off (ATO) and professional development opportunities.
Safety and Risk Management
Participates in organizational processes to identify and manage safety hazards, adhering to established policies and procedures.
Qualifications
Experience: Minimum of 3 years in healthcare operations support, including 2 years in a management role, or a Bachelor's degree with 2 years of management experience.
Education: High school diploma or equivalent.
