Position Overview

The Administrative Operations Supervisor is tasked with overseeing and managing essential office activities, which include basic Human Resource functions and union-related responsibilities when necessary. This role primarily involves supervising daily data collection and either completing or overseeing fundamental financial reporting.

Key Responsibilities


• Oversees and ensures the accurate distribution of payroll, benefits, and taxes in compliance with applicable labor laws.

• Guarantees the precise and timely processing of new hires, temporary staff, transfers, promotions, and terminations.

• Actively collaborates with Operations, Human Resources, and Billing departments to assess interdepartmental effects and reconcile data sharing.

• Leads the preparation of various management reports, including weekly, monthly, quarterly, and annual summaries.

• Manages all accounting systems and records, covering cash receipts, expenditures, investments, purchasing, inventory, assets, and payroll.

• Ensures that performance evaluations for supervised staff are conducted as required, providing ongoing feedback on performance issues and taking prompt action to acknowledge successes and address shortcomings.

• Fosters a workplace culture that encourages open communication among team members, promoting collaboration to achieve organizational goals.

• Meets deadlines for financial documentation.

• Reconciles bank statements and verifies balances against the general ledger.

• Supervises all month-end and year-end accounting processes, including the preparation and entry of journal entries for Accounts Payable, Accounts Receivable, Payroll, and General Ledger systems.

Qualifications


• Minimum of 2 years of experience in accounting and payroll management.

• A Bachelor's degree or equivalent experience is preferred.

• Ability to thrive in a fast-paced work environment.

• Capable of handling sensitive information with discretion.

• Experience managing in a diverse setting with a strong emphasis on client and customer service.

• Strong interpersonal skills are essential.

• Effective verbal and written communication skills are required.

• Proficiency in Microsoft Office, particularly advanced skills in Microsoft Excel.
