Executive Office Administrative Coordinator

We are looking for a skilled Executive Office Administrative Coordinator to join our dynamic team at Penguin Random House. This role will provide essential support to the Executive Office, working closely with high-level executives including the CEO, CFO, and Chief Strategy Officer. The position is ideal for an individual who is exceptionally organized, detail-oriented, and thrives in a fast-paced environment.
This position requires full-time in-office attendance.
Key Responsibilities:
- Deliver comprehensive administrative assistance to facilitate the daily operations of the Executive Office
- Manage calendars and scheduling for multiple senior executives
- Coordinate travel arrangements, including domestic and international itineraries
- Handle expense management by collecting receipts and preparing reports in a timely manner
- Oversee office supplies, ensuring adequate inventory and timely ordering
- Organize book displays by selecting titles and managing orders
- Draft and distribute internal communications
- Assist in planning and executing meetings and special events, including visitor reception and room setup
- Support various special projects as required
Qualifications & Skills:
- Minimum of three years of relevant experience; five years preferred
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Strong organizational and time management abilities, with the capacity to prioritize tasks effectively
- Quick to learn and adapt, with the ability to follow directions accurately
- Excellent verbal and written communication skills are essential
- Professional demeanor with a friendly and helpful attitude in all interactions
- Ability to work under pressure while managing multiple responsibilities
- High level of integrity and discretion in handling confidential information
- Creative and resourceful problem-solving skills
Compensation:
The salary range for this position is between $60,000 and $80,000. All employees are eligible for an annual profit award or bonus, contingent on company performance.
