Key Responsibilities:

  • Provide primary support to the President and additional assistance to managers to ensure the achievement of company objectives and efficient operations.
  • Facilitate communication with employees by coordinating with managers on various projects and tasks.
  • Deliver administrative and office support, including drafting correspondence, taking meeting notes, and managing documents.
  • Uphold professionalism and strict confidentiality with all company materials.
  • Oversee the professional and personal scheduling for the CEO, managing communications, client interactions, and logistical arrangements.
  • Coordinate both internal and external meetings, ensuring all logistical details are handled, including meal and gift arrangements.
  • Assist in the recruitment process by interviewing candidates and managing the onboarding of new employees.
  • Act as the primary contact for daily office needs, including maintenance, supplies, and equipment management.
  • Manage incoming communications and direct inquiries to the appropriate personnel or departments.
  • Ensure that office facilities and equipment are maintained in optimal condition.
  • Generate shipping labels and bills of lading as required.
  • Create sales orders utilizing the Netsuite program.
  • Collaborate with IT to resolve any technical issues faced by the President.
  • Order necessary supplies and equipment for the company.

Qualifications:

  • A minimum of 2 years of experience in an administrative role supporting upper management.
  • Strong research and analytical skills with the ability to interpret diverse data points.
  • Excellent written and verbal communication abilities.
  • Strong time-management skills with the capacity to organize and manage multiple projects simultaneously.
  • Proficiency in office software and a willingness to learn new systems.
  • A flexible team player who is adaptable to change and embraces challenges.
  • Ability to maintain confidentiality regarding company and employee information.

Compensation will be commensurate with experience and qualifications. A medical plan is available.
