Position Title: Executive Assistant
Department: Executive/Admin
Reports to: Chief Executive Officer
FLSA Classification: Non-Exempt
Salary Range: $34.00 hourly
Overview:
The Executive Assistant will deliver comprehensive administrative support to the Executive team, serving as a liaison for both internal and external communications. This role encompasses managing schedules, coordinating travel arrangements, and preparing financial documentation.
Key Responsibilities:
1. Manage incoming calls for the Executive team, ensuring effective communication.
2. Organize and maintain a filing system for policies and procedures.
3. Prepare materials for monthly board meetings and other committee gatherings.
4. Retrieve and summarize information from various records and documents as needed.
5. Address and resolve administrative inquiries efficiently.
6. Coordinate travel, meetings, and appointments for executives and board members.
7. Draft agendas and schedules for meetings.
8. Record and distribute minutes from meetings.
9. Oversee office supplies and ensure maintenance of office equipment.
10. Plan and execute meetings, including technical arrangements and catering services.
11. Create meeting agendas, ensuring all necessary information is included.
12. Maintain a schedule for policy and procedure approvals.
13. Take minutes for various committee meetings and management gatherings.
14. Organize travel logistics for the executive team and board members.
15. Develop and distribute the employee newsletter.
16. Plan and coordinate company events, including team-building and community outreach.
17. Manage food arrangements for meetings and office events.
18. Assist with vendor management and contract documentation.
19. Handle policy revisions as directed by management.
20. Manage the creation and distribution of internal promotional materials.
21. Compile board reports as necessary.
22. Perform additional duties as assigned.
Required Skills and Qualifications:
- Strong verbal and written communication abilities.
- Excellent interpersonal and customer service skills.
- Proficiency in Microsoft Office Suite or similar software.
- Exceptional organizational skills and attention to detail.
- Basic knowledge of clerical procedures and recordkeeping.
- Ability to work independently and manage multiple tasks.
Education and Experience:
- High school diploma or equivalent is mandatory.
- Previous experience in customer service, retail, or management is advantageous.
Physical Requirements:
- Capability to lift up to 50 pounds as needed.
- Ability to stand for extended periods.
