Job Overview

Position: HR Specialist

Overview:

Reporting directly to the VP of Finance, the HR Specialist will act as the primary HR contact for our workforce of over 100 employees across the United States, addressing payroll, benefits, and various HR inquiries. This role encompasses a diverse array of HR responsibilities, including but not limited to: facilitating the onboarding process for new hires, implementing compliance training, overseeing the management of employee benefits and leave policies, and contributing to the development and refinement of HR policies and programs. A high degree of confidentiality and professionalism is essential in this position.

This is a part-time role requiring in-office presence, five days a week, with a commitment of six hours each day.

Key Responsibilities:

To excel in this position, the individual must effectively fulfill each essential duty. Reasonable accommodations may be provided to enable individuals with disabilities to perform essential functions.

  • Collaborate with the MSP team to streamline and facilitate the onboarding of new hires.
  • Prepare Offer Letters and conduct background checks.
  • Oversee payroll processing, including reviewing and approving timecards.
  • Monitor biweekly additional payments and changes (new hires, terminations, bonuses, commissions, etc.).
  • Distribute various payroll reports to the accounting department post-payroll closure.
  • Administer company benefits.
  • Deliver exceptional customer service by addressing employee benefit inquiries and resolving issues.
  • Assist with quarterly audits (accounting).
  • Ensure the setup of FSA/DSA accounts with third-party vendors.
  • Manage benefit billing and reconciliation processes.
  • Oversee the annual/open enrollment for benefits.
  • Coordinate the annual ACA reporting process and non-discrimination testing.
  • Maintain all electronic and/or paper employee records in compliance with applicable laws and policies.
  • Generate reports for various departments as required.
  • Accurately and promptly enter all changes and terminations in ADP WFN.
  • Complete the I-9 process, including the eVerify process, in a timely and accurate manner, ensuring all eVerify non-conformance is addressed promptly.
  • Manage leave administration and tracking, including filing disability claims when necessary.
  • Support various annual audits (401k and SOC).

Qualifications:

  • 0-3 years of experience with a Bachelor's Degree in business or a related field, or equivalent combination of experience and education.
  • Proven ability to meet deadlines consistently, prioritize tasks, and manage multiple projects.
  • Exemplary accuracy, organizational skills, and sound judgment.
  • Strong written and verbal communication abilities.
  • Engages in self-development activities, seeks assistance when needed, and offers help to others.
  • Familiarity with Federal employment laws and the ability to conduct necessary research.
  • Experience in supporting remote employees.
  • Capacity to work independently while handling confidential information professionally.
  • Excellent customer service and relationship-building skills.
  • Strong problem-solving capabilities.
