Job Overview:

The Licensing Operations Specialist plays a crucial role in managing tasks associated with the licensing application processes in the State of Arizona. This position is dedicated to assisting both potential and current clients in navigating the complexities of available licenses and the steps involved in the application process.

The Licensing Operations Specialist engages with businesses, clients, departmental staff, and various agencies through direct interactions and communication via phone. This role involves delivering comprehensive information to the public, ensuring clarity in response to inquiries; accepting applications for services and related documentation, while meticulously noting critical details to guarantee accuracy and completeness.

As a licensing expert, this position also addresses intricate issues that carry a higher degree of risk and significance.

Key Responsibilities:


• Manage the processing of initial, renewal, and modification license applications within established timelines.


• Evaluate, verify, interpret, and monitor primary source documentation submitted in support of license applications, permits, and registrations to assess validity and completeness while identifying any deficiencies.


• Scrutinize all submitted documents, determine the appropriate entry dates, and request additional information if any data is unclear, incomplete, or contradictory.


• Provide updates either verbally or in writing regarding the status of applications and processes related to Arizona licensure, ensuring that timelines for license approval are adhered to.


• Assess and input applicant data into the Licensing Database to confirm that all licensing requirements are fulfilled and present this information to the Licensing Manager/Supervisor for approval.


• Authorize and issue licenses, permits, and registrations in accordance with Arizona Revised Statutes and Administrative Code.

Required Knowledge, Skills & Abilities:

Knowledge:


• Familiarity with Title 4 and associated regulations.


• Understanding of the agency's vision, mission, and the Licensing Section's objectives.


• Awareness of regulatory principles and practices, alongside federal and state laws governing licensing.


• Proficiency in interview techniques and information gathering.

Skills:


• Competence in using computer software and systems, including standard business applications and specialized legacy systems (e.g., the Department's Licensing Control System).


• Strong organizational skills and effective workload management.


• Exceptional communication skills (both oral and written) that facilitate the clear and concise explanation of complex regulatory matters to licensing personnel.


• Excellent interpersonal skills, including conflict resolution capabilities.


• Advanced computer skills, including proficiency in MS Office and database management.


• Ability to plan, organize, and prioritize tasks effectively.


• Strong attention to detail.


• Outstanding customer service skills.

Abilities:


• Ability to remain focused and complete assignments within deadlines.


• Capacity to establish and maintain collaborative relationships with colleagues, staff from other departments, and the general public.

Preferred Qualifications:


• Experience with e-licensing database systems.
