Position Overview:

The role involves engaging in activities related to the Division of Public Health Licensing Services within the Bureau of Long Term Care. Under minimal supervision, the specialist will assess and manage intricate applications for both facility and individual licenses, ensuring adherence to all relevant regulations within designated time limits.

Key Responsibilities:

  • Review and process complex licensing applications utilizing various electronic systems in compliance with state laws and agency policies.
  • Issue licenses and deficiency notifications, while also determining the appropriate course of action for applications that may be denied or withdrawn.
  • Maintain communication with the regulated community and other regulatory entities, participating in stakeholder meetings to address inquiries and provide guidance.
  • Handle escalated interactions with the public, responding to complex technical questions across multiple formats.
  • Prepare documentation for public records requests and administrative hearings as required.
  • Process incoming and outgoing correspondence, including payment handling and refund initiation when necessary.
  • Continuously seek and implement process improvements to enhance customer experiences.
  • Contribute to the training and development of licensing coordinators and specialists.

Essential Knowledge, Skills, and Abilities:

  • In-depth understanding of regulatory principles and practices, including federal and state licensing laws.
  • Proficient in problem-solving techniques and skilled in the use of personal computers and software applications.
  • Strong organizational skills with the ability to manage workloads effectively.
  • Excellent verbal and written communication skills, capable of conveying complex regulatory matters clearly.
  • Ability to foster positive relationships and resolve conflicts efficiently.
  • Demonstrated attention to detail and commitment to providing exceptional customer service.

Preferred Qualifications:

An Associate Degree is preferred; however, relevant customer service experience may be considered as a substitute.
