The Compliance and Licensing Specialist plays a crucial role in ensuring that WillScot's title, registration, and occupational licenses are maintained accurately and consistently. This position is vital to preventing any disruptions in business operations.
This role involves regular interaction with regulatory bodies to achieve favorable outcomes, including but not limited to the Department of Motor Vehicles, Licensing Boards, and Departments of Housing, which may vary depending on the jurisdiction.
KEY RESPONSIBILITIES:
- Securing and upholding the necessary business and salesperson occupational licenses without any lapses, restrictions, or cancellations.
- Ensuring that all modular, storage, and other company-owned assets are correctly titled, registered, and/or certificated in compliance with state laws, company policies, and the terms of the Asset Based Lending (ABL) agreement.
- Monitoring, auditing, and storing contract documents and customer acceptance for all order originations.
DOCUMENTATION PREPARATION:
- Preparing and submitting necessary documentation for the renewal of dealer and manufacturer licenses.
- Facilitating new dealer and manufacturer licenses to support branch expansion or relocation.
- Managing title applications and annual registration renewals in states that require titling.
SUPPORT FUNCTIONS:
- Assisting sales personnel in renewing required salesperson licenses.
- Ensuring that required qualifiers meet state educational requirements and preparing and submitting paperwork to update qualifiers to occupational licenses as necessary.
- Maintaining and updating the procedures manual as needed to reflect changes in processes.
- Training team members to ensure full proficiency in all relevant processes.
- Managing the retitling of acquired assets and modifications of occupational licenses due to mergers and acquisitions.
- Providing guidance to customers, state agencies, and branch personnel regarding licensing-related procedures and requirements.
- Responding to inquiries from branches and customers.
- Auditing the new order acceptance process to ensure that contractual agreements and sensitive documents are accurately recorded and stored for easy retrieval.
- Performing other assigned duties as required.
EDUCATION AND EXPERIENCE:
Minimum Required Education:
High School Diploma/GED
Preferred Education:
Associate Degree
Experience:
At least 1 year of clerical experience is required.
ESSENTIAL SKILLS:
- Proficiency in Microsoft Office, particularly MS Word and Excel.
- Strong verbal and written communication skills.
- Prior clerical experience is essential.
PREFERRED SKILLS:
- General knowledge of accounting principles is preferred.
- Experience with commercial asset registration and/or occupational licensing, either in the United States or internationally in North America.
- Familiarity with Salesforce and SAP is a plus.
