Role Summary:

We are currently in search of qualified candidates for a full-time Office Support Specialist within the Community Centers division. This division provides a wide array of programs and services to a diverse group of residents and visitors. Our team values innovation, curiosity, and diversity, ensuring that every participant in our community centers feels welcomed and respected, and has an exceptional experience. The Office Support Specialist will develop systems aimed at enhancing the efficiency and service of the division and department.

The role encompasses a comprehensive range of office support duties, including but not limited to:

  • Collecting and compiling data.
  • Preparing necessary forms and documents.
  • Responding to inquiries via phone and email.
  • Assisting both internal and external customers with form completion.
  • Addressing routine program inquiries.
  • Performing data entry tasks.
  • Ordering and managing supplies.
  • Processing incoming and outgoing mail.
  • Coordinating meetings and preparing correspondence.
  • Maintaining databases and filing systems.

The ideal candidate will be adept at resolving issues promptly and efficiently while maintaining excellent working relationships. This individual should thrive in a dynamic, fast-paced environment and enjoy engaging in special projects, training, and events. Strong verbal and written communication skills, along with meticulous attention to detail, are essential. The candidate must be capable of managing time-sensitive tasks independently and providing day-to-day administrative support to the Division Managers under supervision.

Essential Responsibilities:

  • Provide administrative support for departmental programs and special projects.
  • Deliver courteous and timely customer service to personnel, vendors, residents, and guests.
  • Assist with department-wide functions, including recruitment activities and maintaining files.
  • Perform additional relevant job functions as required by the position and department.

Minimum Qualifications:

A high school diploma or equivalent, along with two years of related clerical or administrative experience, or an equivalent combination of education and experience.

Preferred Qualifications:

A bachelor's degree in Office Management, Business Administration, or a related field is preferred.

Job Requirements:

A valid driver's license and a clean driving record may be required for job-related duties. Candidates must pass pre-employment background checks, including criminal, credit, and DMV checks. A Notary Public certification must be obtained within 30 days of hire.

Occasional work outside of regular hours may be necessary.
