Position Summary:

We are currently in search of qualified candidates for a full-time administrative coordinator role within the Community Centers division. The Community Centers provide a wide array of programs and services to a diverse demographic of Loudoun County residents and visitors across multiple locations. Our team values innovation, curiosity, and diversity to ensure that every participant in our community centers feels welcomed and respected, enjoying an exceptional experience. The administrative coordinator is responsible for creating systems that enhance the efficiency and service quality of the division and department. This role requires a dynamic and motivated individual to be part of our Community Centers Administration Team.

The administrative coordinator offers comprehensive office support, which includes:

  • Collecting and compiling data.
  • Preparing forms and responding to inquiries via phone and email.
  • Assisting both internal and external customers with form completion.
  • Answering routine questions regarding programs.
  • Performing data entry and managing supply orders.
  • Processing mail and organizing meetings.
  • Drafting correspondence and maintaining databases and files.

The ideal candidate will efficiently resolve issues, maintain excellent working relationships, and thrive in a fast-paced, creative environment. This individual will enjoy engaging in special projects, training, and events. Strong verbal and written communication skills and meticulous attention to detail are essential. The candidate must manage time-sensitive tasks effectively and work independently, providing daily administrative support to the assigned Division Managers.

Key Responsibilities:

  • Provide administrative support for departmental programs and special projects.
  • Deliver courteous and prompt customer service to County personnel, vendors, residents, and guests.
  • Assist with department-wide functions such as recruitment, scheduling interviews, and maintaining files.
  • Track training and certification records for staff as needed.
  • Perform other relevant job functions as required by the assigned position and department.

Minimum Qualifications:

A high school diploma or equivalent, along with two (2) years of relevant clerical or administrative experience, or an equivalent combination of education and experience.

Preferred Qualifications:

A bachelor’s degree in Office Management, Business Administration, or a related field is preferred.

Job Requirements:

A valid driver's license and a good driving record may be required for job-related duties. Candidates must pass pre-employment background checks, including criminal, credit, and DMV checks. A Notary Public certificate should be obtained within 30 days of hire.

Occasional work hours outside of the standard workday may be necessary.
