Position Overview:

Ophthalmic Consultants of Boston is seeking a dedicated Patient Care Supervisor to join our Optometry & Optical division. This role is pivotal in ensuring our commitment to exceptional patient service, integrity, teamwork, fairness, operational excellence, and financial accountability.


Key Responsibilities:

The Patient Care Supervisor will oversee all scheduling and administrative operations, ensuring that the practice's needs and those of our providers are met efficiently. This includes:

  • Supervising the patient care team to guarantee high-quality service and optimal team performance.
  • Managing daily tasks and adjusting assignments as necessary to enhance clinic flow.
  • Reviewing provider schedules proactively to identify and rectify potential issues.

This is a full-time position, with a standard workweek from Monday to Friday, including the potential for remote work one day per week.


Performance Expectations:

The ideal candidate will possess the skills necessary to fulfill all responsibilities of Patient Care Coordinators I, II, and III, including the ability to schedule appointments for any Optometrist. Essential skills include:

  • High-level interpersonal abilities to navigate sensitive situations.
  • Strong decision-making capabilities.
  • Proven leadership experience with administrative staff and collaboration with external entities.
  • Excellent written and verbal communication skills, demonstrating tact and diplomacy.
  • Effective organizational and planning skills, with the ability to prioritize tasks independently.

Accountability for a variety of administrative activities is crucial, along with the ability to assign work and monitor team performance. Familiarity with OCB policies and procedures is also required.


Specific Duties:

The Patient Care Supervisor will:

  • Provide comprehensive support to physicians, the Practice Manager, and the administrative team, serving as a resource for practice administration.
  • Act as the primary liaison between the Practice Manager and Patient Care Coordinators.
  • Deliver exceptional customer service to patients, providers, and team members.
  • Assist in evaluating staffing needs and participate in the recruitment process.
  • Assess team performance and recommend promotions or disciplinary actions as necessary.
  • Contribute to the development and execution of long-term departmental plans.
  • Maintain open communication with staff to foster a positive work environment and ensure clarity on team objectives.
  • Audit scheduling accuracy and provide feedback for improvement.
  • Collaborate with the Practice Director to address administrative challenges and strategize for the future.
  • Engage in practice development initiatives and attend relevant meetings.
  • Serve as a liaison with other departments and external agencies, managing confidential information with discretion.
  • Lead departmental meetings and perform additional tasks as required.

Qualifications:

The successful candidate will have:

  • A minimum of five years' experience in a busy medical setting, with supervisory experience preferred.
  • A bachelor's degree is preferred.
  • Experience in a high-volume medical practice.
  • Proficiency with electronic medical records, particularly Epic.
  • Experience managing a high volume of patient communications.
  • Strong verbal and written communication skills, with a keen attention to detail.
  • Competence in Microsoft Outlook, SharePoint, and Teams.
  • Advanced multitasking abilities and prioritization skills.
  • Experience in project management is a plus.
