Key Responsibilities:

The Patient Care Supervisor will oversee all scheduling and administrative operations, ensuring that the practice runs smoothly and efficiently. This includes:

  • Supervising the patient care team to guarantee high-quality service and optimal team performance.
  • Managing daily tasks and adapting assignments as necessary to meet the evolving needs of the practice.
  • Reviewing provider schedules proactively to identify and rectify potential issues, enhancing accuracy and clinic workflow.

Performance Expectations:

The ideal candidate will possess:

  • Comprehensive skills to perform all tasks associated with Patient Care Coordinator levels I, II, and III, including scheduling appointments for various Optometrists.
  • Strong interpersonal abilities to navigate sensitive and confidential matters with discretion.
  • Proven decision-making capabilities and leadership experience in managing administrative staff.
  • Excellent written and verbal communication skills, with an emphasis on tact and diplomacy.
  • Effective organizational, planning, and prioritization skills, demonstrating initiative and accountability.

Essential Duties:

The Patient Care Supervisor will:

  • Provide advanced support to physicians, the Practice Manager, and the administrative team, serving as a knowledgeable resource in practice administration.
  • Act as the primary contact between the Practice Manager and Patient Care Coordinators.
  • Deliver outstanding customer service to patients, providers, and team members.
  • Assist in assessing staffing requirements and participate in the recruitment process.
  • Evaluate team performance and recommend actions for merit increases, promotions, and disciplinary measures.
  • Contribute to the development and execution of long-term departmental strategies.
  • Foster communication among staff to maintain a positive work environment and ensure clarity on team objectives.
  • Conduct audits of scheduling accuracy and provide constructive feedback and training to enhance outcomes.
  • Collaborate with the Practice Director to address administrative challenges and formulate strategic plans.
  • Maintain a thorough understanding of clinic scheduling and administrative processes.
  • Engage in practice development initiatives and contribute to discussions regarding scheduling workflows and concerns.
  • Serve as a liaison with other departments and external organizations, managing confidential information and clarifying policies as needed.
  • Lead departmental meetings focused on patient care team objectives.
  • Perform additional tasks as required.

Qualifications:

Applicants should have:

  • A minimum of five years' experience in a fast-paced medical environment, with supervisory experience preferred.
  • A bachelor's degree is preferred.
  • At least one year of experience in a busy medical practice.
  • Experience with electronic medical records, particularly Epic, is advantageous.
  • A proven track record of managing a high volume of patient interactions.
  • Strong verbal and written communication skills, along with meticulous attention to detail.
  • Proficiency in Microsoft Outlook, SharePoint, and Teams.
  • Advanced multitasking abilities and the capacity to prioritize tasks based on business needs.
  • Experience in project management is a plus.
