Job Overview

Health Plus Management is in search of a motivated, detail-oriented Patient Services and Records Administrator to welcome patients, coordinate appointments, manage phone communications, and oversee administrative documentation. In this position, you will play a crucial role in ensuring a positive experience for each patient. You will foster and maintain professional relationships with our key stakeholders, including patients, office personnel, and the clinical team, while ensuring the office operates efficiently.

Key Responsibilities:

  • Ensure patients feel at ease upon arrival by providing compassionate and quality care.
  • Handle incoming calls, take messages, and conduct outreach to patients in a courteous and professional manner.
  • Manage the acquisition and organization of patient charts, assisting patients as necessary.
  • Maintain daily office operations by adhering to established procedures and guidelines.
  • Contribute to team efforts by adapting to various roles as required.
  • Safeguard patient privacy by upholding confidentiality standards (HIPAA compliant).
  • Utilize NextGen to access and provide patient information effectively.
  • Ensure compliance by confirming patient appointments through outreach.
  • Address inquiries, resolve issues, collect co-pays, and schedule patient appointments.
  • Oversee the opening and closing procedures of the office as necessary.
  • Assist in creating a comforting environment for patients and maintaining the reception area.
  • Perform additional administrative tasks as required.
  • Review and prepare all charts prior to the physician's appointments to ensure all medical records are available.
  • Gather records from external sources for review before office visits.
  • Compile complete Medical Records for the Billing Department upon request.
  • Create chart folders, including label application and hole punching.
  • Review charts to verify the accuracy of patient demographic information and follow up as needed.

Qualifications and Experience:

  • Minimum of 1 year of relevant experience in medical administration is preferred.
  • Familiarity with medical insurance and verification processes is advantageous.
  • Understanding of medical terminology and procedures, with the ability to communicate effectively with patients and referring physicians.
  • Experience with Electronic Medical Records (EMR) systems is preferred.
  • Proficient in computer applications, including Microsoft Word and Excel.

  • Bilingual (English/Spanish) is required.

Work Schedule: We have two openings available:

1. Monday/Wednesday 8am-8pm, Friday 8am-5pm, Saturday 8am-1pm
2. Flexible schedule required, hours to be determined.

Compensation: $17-$18.50 per hour
