Job Description

Executive Personal Assistant to a Private Investor

A distinguished private investor is in search of a highly efficient and detail-oriented executive personal assistant to oversee a variety of personal, household, and business-related responsibilities.

Key Responsibilities:

  • Organizing and managing multiple properties and vehicles, including coordinating maintenance teams.
  • Arranging travel itineraries and reservations.
  • Collaborating with legal, financial, and other professional associates.
  • Managing bookkeeping, bill payments, shopping, and various errands.
  • Handling confidential information with the highest level of discretion.
  • Recruiting and evaluating the work of maintenance and renovation contractors, as well as cleaning services.

  • Demonstrates a strong work ethic as a fundamental principle.
  • Skilled in using spreadsheets, office applications, mobile technology, and AI tools for efficient task management.
  • Proactive, resourceful, and willing to acquire new skills as necessary.
  • Exhibits meticulous attention to detail and the ability to effectively track, document, and complete assigned tasks.
  • Possesses excellent interpersonal skills with a strong command of both written and spoken English.
  • Experienced in interacting with property maintenance personnel and contractors, maintaining organized records, and performing basic bookkeeping tasks.
  • Comfortable making independent decisions and solving problems in alignment with the employer's preferences.
  • Adaptable and flexible in responding to last-minute changes, unexpected tasks, or urgent situations.
  • Capable of managing multiple tasks and competing priorities effectively.

Additional Requirements:

  • Must hold a valid driver's license and maintain a clean driving record, with the ability to drive for errands and other responsibilities.
  • Tech-savvy, with experience in troubleshooting basic technology issues (e.g., smart home devices, office equipment).
  • Physically able to handle tasks such as shopping and organizing, including lifting packages up to 25 lbs.
  • Adept at managing crises and unexpected issues calmly and efficiently.
  • The candidate will be allotted two half-hour breaks daily for personal tasks in addition to regular lunch breaks.

Education & Experience:

  • A college or associate degree in business, accounting, entrepreneurship, or a related field is preferred.
  • A minimum of five years of full-time work experience is required, ideally with at least two years in a personal assistant role.

Work Location:

  • The primary work location will be the employer's residence.

Travel:

  • Willingness to travel occasionally is a plus and will be compensated accordingly.
