Reception Operations Coordinator

POSITION SUMMARY

The Reception Operations Coordinator plays a crucial role in welcoming clients and visitors to our office, guiding them to their destinations within the building, managing incoming phone calls, and providing accurate messages as needed.

  • Manage all incoming calls in a courteous and professional manner, ensuring they are directed to the appropriate staff member or department.
  • Collaborate with the Financial Department to provide necessary support.
  • Administer office tasks, including ordering supplies and managing mailings.
  • Coordinate travel, meetings, and events for local staff as required.
  • Assist various departments, including Training, Recruitment, Human Resources, Sales, Dispatch, and Executive teams, as needed.
  • Deliver exceptional customer service by warmly greeting and assisting visitors.
  • Maintain office supplies, ensuring copiers are stocked with paper and toner, and postage meters are filled.
  • Sort and distribute incoming mail and packages efficiently.
  • Uphold a welcoming environment by keeping the reception area and kitchen tidy and ensuring refreshments are prepared.
  • Perform additional tasks as assigned by the Office Manager.

REQUIREMENTS:

  • High School Diploma or equivalent is required.
  • Previous experience in the oil and gas sector is preferred.
  • Minimum of 2 years of experience managing incoming calls.
  • Self-motivated individual capable of completing tasks with minimal supervision.
  • Team-oriented with strong interpersonal skills for effective collaboration.
  • Articulate and efficient, with a focus on achieving results.
  • Excellent organizational and time management skills to juggle multiple responsibilities.
  • Ability to prioritize tasks independently and manage time effectively.
  • Capable of thriving in a fast-paced environment.
  • Understanding and adherence to safety policies and practices are essential.
  • Proficiency in reading, writing, and understanding English; bilingual skills are a plus.
  • Familiarity with NetSuite is advantageous.
  • Demonstrated ability to work well in a team and a willingness to take on new responsibilities.
  • Strong work ethic and a collaborative attitude.

WORK ENVIRONMENT:

This role may involve exposure to outdoor weather conditions and requires working in an office setting.

PHYSICAL REQUIREMENTS:

Occasional standing, walking, stooping, or kneeling may be necessary to maintain equipment. The ability to lift and/or move up to 50 pounds is required.

Flexibility in work hours may be necessary, including potential overtime, holiday work, weekends, and extended hours as operational needs dictate.
