Position Overview

The role of the Administrative Operations Supervisor is vital in supporting the management, oversight, and successful execution of the administrative, financial, and operational functions of an urgent care facility. Key responsibilities include:

Site Management

  • Overseeing site performance, including monitoring patient visits, addressing registration delays, and managing follow-up care post-discharge.
  • Assisting the Practice Manager in scheduling non-provider staff.
  • Coordinating the procurement of medical supplies, medications, vaccinations, and office essentials.
  • Managing the opening and closing procedures of the facility as needed.
  • Supporting the Practice Manager with various administrative and operational tasks.

Team Leadership

  • Fostering effective communication with providers and collaborating as a team to enhance practice success.
  • Ensuring staff professionalism through coaching, management, and development initiatives.
  • Overseeing team dynamics, including recruitment, performance evaluations, promotions, and disciplinary actions.
  • Working with the HR team to establish development plans and address employee relations matters.

Patient and Business Management

  • Upholding patient confidentiality in compliance with policies and HIPAA regulations.
  • Engaging with patients and their families during discharge, addressing concerns, and reviewing satisfaction feedback.

Qualifications

  • High School Diploma or GED required; a Bachelor's degree in management, business, or a related field is preferred (relevant management experience may be considered in lieu of a degree).
  • A minimum of one year of supervisory or management experience is essential, or a degree in management.
  • Proficiency in multitasking and strong computer skills, including familiarity with Microsoft Office applications.
  • Exceptional communication abilities and comfort in providing constructive feedback.
  • Bilingual skills are preferred based on location.

Additional Information

This position may involve long shifts, weekend work, and varying schedules, necessitating on-site presence. Physical requirements include occasional lifting of heavy objects, repetitive tasks, and light cleaning duties, alongside significant computer usage.
