Preferred Qualifications:

  • Experience with Guest Management Systems
  • Familiarity with Jira for ticketing
  • Knowledge of access management systems, including key cards
  • Experience in managing high-rise building operations, security protocols, and fire safety measures

About the Role:

We are looking for an Administrative Operations Manager to lead the management of our office operations for a dynamic financial software company. In this capacity, you will be the primary contact for all administrative functions, including vendor management, seating arrangements, and coordination of internal and external events.

Your focus will be on cultivating a positive and engaging workplace by assessing and addressing the specific needs of the office environment. The ideal candidate will possess experience in managing office operations, capable of resolving issues efficiently, and collaborating with a global team on various initiatives.

Key Responsibilities:

  • Oversee front desk operations, welcoming and assisting visitors
  • Maintain an organized office environment with functional furniture and equipment
  • Address IT-related issues, ensuring seamless operation of technology
  • Establish and maintain relationships with vendors for snacks, catering, and facility management
  • Act as the primary contact for external visitors and internal inquiries
  • Coordinate in-office activities, including meals, meetings, and conference room bookings
  • Manage office finances, including credit card reconciliations and expense tracking
  • Serve as the central point of contact for office-related matters, event planning, and emergency situations
