Position Summary:

We are looking for a meticulous and committed Sales Support Specialist to enhance our sales operations and facilitate the smooth processing of orders. This role is essential in managing sales documentation, liaising with both national and international partners, and ensuring compliance with all regulatory requirements. The ideal candidate will possess strong organizational skills, excellent communication abilities, and thrive in a dynamic work environment.

Key Responsibilities:

  • Input, verify, and oversee all sales contracts and orders using the ERP system.
  • Facilitate purchase contracts and orders as necessary.
  • Coordinate daily with customers, production teams, warehouses, vendors, and logistics to ensure timely order fulfillment and monitor inventory levels.
  • Track shipments, manage order routing, and report on late shipments.
  • Prepare and manage export documentation, including bills of lading, commercial invoices, and certificates of origin, ensuring compliance with international trade regulations.
  • Monitor accounts receivable, addressing reconciliation and disputes related to credits and deductions.
  • Assist in grain procurement through effective shipping and sales forecasting.
  • Support inventory tracking for outsourced items and customer dropships.
  • Gain proficiency in the ERP system for daily operational tasks.
  • Assist with the setup of new items.
  • Prepare monthly statements of customer contract balances.
  • Provide support for transfer, co-manufacturing, and inbound operations.
  • Coordinate trade shows in collaboration with the sales team.
  • Assist the sales team in preparing customer presentations and meetings.
  • Manage customer samples and small order shipments, with the ability to lift up to 50 lbs.
  • Facilitate the provision of frequently requested documentation for customers, working alongside the Quality Assurance team.
  • Perform additional duties as assigned.

Qualifications and Skills:

  • 3-5 years of experience in customer service or sales support.
  • Ability to work independently while collaborating effectively with team members in a fast-paced setting.
  • Experience with EDI orders and advanced shipment notices is advantageous.
  • Highly organized with a keen attention to detail, creative, and dependable.
  • Proficient with technology and a quick learner.
  • Familiarity with Microsoft Office and Dynamics 365 is preferred.
