Position Summary:

We are looking for a meticulous and proactive Sales Support Specialist to provide essential support to our sales department and facilitate the smooth processing of orders. The ideal candidate will be responsible for managing sales documentation, liaising with both national and international partners, and ensuring compliance with relevant regulations. This role is perfect for individuals who are organized, possess excellent communication skills, and excel in a dynamic work environment.

Key Responsibilities:

  • Input, verify, and manage all sales contracts and orders using the ERP system.
  • Facilitate purchase contracts and orders as required.
  • Coordinate daily with customers, production teams, warehouses, vendors, and logistics to ensure timely order fulfillment; monitor inventory levels daily.
  • Track shipments, manage order routing, and report on late shipments.
  • Prepare and oversee export documentation, including bills of lading, commercial invoices, and certificates of origin, ensuring compliance with international trade regulations.
  • Manage accounts receivable tracking and communication, including reconciliation of credits and deductions.
  • Assist in grain procurement by providing shipping and sales forecasts.
  • Support inventory tracking for outsourced items and customer dropships.
  • Learn and utilize the ERP system for daily operational tasks.
  • Assist with the setup of new items.
  • Prepare monthly statements of customer contract balances.
  • Provide support for transfer/co-manufacturing and inbound logistics.
  • Coordinate trade shows in collaboration with the sales team.
  • Assist the sales team in preparing customer presentations and meetings.
  • Handle customer samples and small order shipments, with the ability to lift up to 50 lbs.
  • Facilitate documentation requests for customers in collaboration with the Quality Assurance team.
  • Perform other duties as assigned.

Qualifications and Skills:

  • 3-5 years of experience in customer service or sales support.
  • Ability to work independently while also collaborating effectively in a fast-paced team environment.
  • Experience with EDI orders and advanced shipment notices is a plus.
  • Highly organized with a strong attention to detail; creative and dependable.
  • Tech-savvy with a quick learning ability.
  • Proficiency in Microsoft Office and Dynamics 365 is preferred.
