Customer Service Representative

The Customer Relations Specialist plays a vital role in maintaining direct contact with patients, ensuring exceptional service and a positive experience. This position requires excellent communication skills, empathy, and the ability to handle difficult situations with composure.
Key Responsibilities- Scheduling and Registration: Schedule and register appointments for patients according to established procedures, ensuring seamless coordination with other offices as needed.
- Front Office Operations: Perform general office/clerical duties, including answering multi-phone systems, preparing patient documents, scanning documents, and facilitating mail and e-faxes.
- Inventory Management: Maintain front office inventory and keep storage areas organized, ensuring a clutter-free and efficient workspace.
- Financial and Insurance Eligibility: Prepare patient charts and determine financial and insurance eligibility status prior to each encounter.
- Payment Processing: Prepare receipts for patient payments, balance payments received, and maintain accurate records.
- Reception Area Preparation: Ensure the reception area is ready for each working day, opening the building at the designated time and having all front desk activities operational at the start of business hours.
- Building Security: Secure the building at the close of each working day, following protocol for turning off appliances and locking entrances.
- Pre-Certifications and Referrals: Assist with pre-certifications and referrals, ensuring timely and accurate processing.
- Patient Support: Assist patients with questions, form requests, and direct them to the appropriate individual or department.
- Staff Meetings: Participate in staff and educational meetings, staying informed and contributing to team discussions.
- Education: High School/GED preferred.
- Experience: At least one (1) year of experience in customer service required.
