KEY RESPONSIBILITIES

Event Management:
Oversee the daily operations of conference center events, encompassing corporate, social, and non-profit gatherings, as well as internal meetings.
Conduct client introductions prior to events and follow up post-event as required.
Maintain relationships with vendors, ensuring agreements and insurance certificates are current.
Assist clients with on-site event logistics, including catering, accommodations, decorations, and more.

Administrative Duties:
Coordinate staffing for events, including janitorial and security services, as well as loading dock schedules.
Be proficient in the operation and maintenance of conference center audio-visual equipment.

Contract Management:
Keep accurate records of all contracts related to events, preferred and non-preferred vendors, etc.
Distribute internal memos as directed.
Organize appropriate staffing for all events as needed.
Ensure security measures are in place as directed.
Obtain necessary insurance certificates as required.
File all correspondence as instructed.
Confirm receipt of full payment from clients prior to events.

Team Leadership:
Supervise the Conference Center Attendant and vendor staff, providing daily support and performance management.
Ensure staff meet the expectations of JLL Experience Management and contracted clients.
Participate in the hiring process for the Conference Center Attendant, providing training on JLL Experience Management policies and procedures.
Provide guidance and coaching to team members regarding performance issues, including recommendations for termination when necessary.

General Event Planning:
Manage all event planning requests from clients, ensuring smooth execution from start to finish, and proactively provide updates and follow-ups as needed.

Additional Responsibilities:
Handle other concierge-related tasks and reports as required.

SKILLS AND QUALIFICATIONS
Experience in event sales and marketing, preferably within the hospitality sector, with 3-5 years of relevant experience. Event planners with 7 years of experience are also encouraged to apply.
Ability to develop and assess event budgets.
Experience in leading marketing initiatives, including website development.
Proficient in contract negotiation.
Experience in outside sales and cold calling is advantageous.
High proficiency in MS Excel and familiarity with CRM systems.
Able to manage multiple tasks in a fast-paced environment while effectively communicating with a diverse clientele.
Quick-thinking and efficient in responding to client requests.
Self-motivated with the ability to work independently.

EDUCATION AND EXPERIENCE
A four-year degree is preferred, or equivalent life experience.
3-5 years of experience in direct event planning, hospitality, or a related field is desirable.
Experience in conference center management is highly recommended.
