Administrative Lab Manager

At Planet Professional, we are seeking an experienced Administrative Lab Manager to support our PI and research group in a dynamic lab setting. As a key member of our team, you will be responsible for overseeing all administrative aspects of the lab, including budget, grants, publications, and regulatory and reporting duties.
Key responsibilities include:
- Providing administrative support to the PI, including calendar management, prioritizing and resolving conflicts, and scheduling meetings.
- Organizing and coordinating international and domestic travel, including travel authorizations, flight and hotel bookings, and expense reports.
- Coordinating small- to large-scale meetings, including logistics, conference registrations, and room reservations.
- Performing general clerical duties, including scanning, copying, faxing, filing, and data entry.
- Screening callers and visitors, reading and distributing mail, and responding to inquiries.
- Administering all financial operations, physical plant, grants management, human resources, safety, and purchasing processes for the labs.
- Providing lab orientation to new lab members, training them on lab policies and software packages, and working with the Lab Manager to plan space assignments and identify fellowship opportunities.
- Responsible for processing academic appointments, GM10s, and effort reporting.
- Maintaining the lab website and internal Wiki site, ensuring supply orders are placed in a timely and efficient manner, and working with the Lab Manager to ensure protocols are submitted on time.
- Serving as pre-award coordinator, managing all aspects of the grant submission process, and preparing the administrative and financial components of grants.
- Managing and reviewing accounts, reconciling monthly statements, and preparing projections on sponsored accounts.
- Tracking spending and project spending patterns, counseling the supervisor and grants office on problems and recommending possible courses of action.
- Processing and proofreading technical reports, grant proposals, manuscripts, and other material.
- Aiding the PI and lab members in preparation and assembly of grant and fellowship applications.
- Coordinating the confidential review process of manuscripts for publication, ensuring that reporting obligations are met.
- Coordinating the Annual Performance Review process with the PI and Supervisors to ensure timely completion.
