Overview:

The Client Relations team plays a crucial role in enabling sales account managers to execute their responsibilities more efficiently. This primarily involves the organization of pre-sales tasks such as sales documentation, product samples, and pricing proposals, as well as managing customer requirements for new product introductions. The Client Relations Coordinator is tasked with overseeing, tracking, and managing pre-sales initiatives, new business opportunities, and item setup processes within our clients' systems. This role requires adept management of various accounts, projects, and responsibilities in a dynamic and fast-paced setting. The Coordinator actively collaborates with clients and account managers to ensure that we consistently surpass customer expectations. Continuous improvement of processes, systems, and tools is essential to optimally serve our clients and the sales team. Additional support may be provided as directed by the Director of Client Business to assist our sales team and clients.

Key Responsibilities:

1. Cultivate and sustain robust relationships with client accounts, serving as a dedicated and adaptable first point of contact.

2. Advocate for clients internally to foster business development.

3. Establish productive cross-functional relationships with account management and internal teams.

4. Manage multiple accounts, tasks, and projects in a high-pressure environment.

5. Ensure timely completion of all projects and tasks, demonstrating a commitment to accuracy, responsiveness, and client focus.

6. Support all facets of internal and external account coordination and communication.

7. Facilitate seamless execution of sales meetings through appropriate planning and support.

8. Conduct internal sales strategy meetings, generate and consolidate sales materials, and coordinate pricing.

9. Collaborate cross-functionally to prepare samples and mockups, adhering to our quality standards and client timelines.

10. Work closely with the design team and clients to ensure that artwork meets expectations for new products and conversions.

11. Identify and manage risks associated with all projects and tasks, escalating issues through the proper channels as necessary.

12. Understand and comply with all unique client-specific requirements for assigned accounts.

13. Assist in coordinating client trade shows and special events.

14. Conduct retail shopping support and complete pricing surveys as directed by the Director of Client Business.

15. Collaborate across departments to fulfill all administrative tasks for the Sales Operations team, including the completion of necessary forms.

16. Ensure compliance with all customer-specific item setup requirements.

17. Maintain effective communication flow and follow-up as designated by specific projects or client needs, ensuring strong communication with the sales team.

18. Oversee client product testing processes and ensure compliance.

19. Complete all client-specific system setups as required and ensure adherence to compliance standards.

20. Provide administrative support as directed by the Director of Client Business.

21. Manage time and priorities effectively in alignment with organizational and account needs.

22. Ensure smooth and realistic communication with clients, considering expectations.

23. Update and manage vendor portals to support new product and conversion launches.

Educational Background:

A Bachelor's degree is required, preferably in Business or Marketing.

Experience:

A minimum of 1 year of experience in a sales or marketing environment is preferred, with a background in Personal Care Products and Health and Beauty Care being advantageous.

Skills and Competencies:

Experience with SAP/ERP systems is beneficial. Advanced proficiency in Excel is strongly preferred.

Ability to creatively solve problems in collaboration with internal and external teams.

Demonstrated ability to work as a team player with a comprehensive understanding of business operations, including product forecasting and customer profitability data.

Strong interpersonal skills across all organizational levels, capable of managing a diverse and significant workload.

Effective verbal and written communication skills.

Persistent in following up on detailed issues until resolution.

This position operates within a professional office setting, routinely utilizing standard office equipment such as computers, telephones, photocopiers, filing cabinets, and fax machines.
