Role Summary: In the capacity of an Office Clerk at Eximius Associates, you will undertake a variety of administrative responsibilities that are essential to the daily functioning of our office. The ideal candidate will possess strong organisational abilities, a proactive mindset, and the capability to manage multiple responsibilities concurrently with precision and effectiveness.

Core Responsibilities:

  • Execute general clerical tasks, including data entry, filing, photocopying, and faxing.
  • Manage incoming and outgoing communications, ensuring that mail and emails are appropriately routed to the relevant departments or individuals.
  • Oversee the inventory of office supplies, placing orders as necessary and maintaining a well-stocked supply area.
  • Assist in coordinating appointments, meetings, and travel arrangements for team members.
  • Maintain and update office records, databases, and filing systems to ensure accuracy and confidentiality.
  • Answer phone calls, direct inquiries, and provide information to callers in a professional and courteous manner.
  • Support the preparation of reports, presentations, and other documents as required by management.
  • Welcome visitors and manage the sign-in process, ensuring a professional and inviting reception area.
  • Assist with special projects and tasks as assigned by supervisors or management.
  • Ensure adherence to company policies and procedures, particularly concerning document management and data protection.

Required Qualifications:

  • Prior experience in an administrative or clerical capacity is preferred.
  • Strong organisational skills and meticulous attention to detail.
  • Proficiency in office software, including word processing, spreadsheets, and email applications.
  • Excellent communication skills, both written and verbal.
  • Ability to effectively manage time and handle multiple tasks with precision.
  • A positive attitude and a commitment to delivering exceptional service to colleagues and clients.
  • High school diploma or equivalent; additional qualifications in office administration are advantageous.
