Role Summary:
This position plays a crucial role in facilitating patient care coordination, including the management of appointment scheduling for practice visits and treatments in alignment with physician availability while complying with institutional policies and procedures.

Key Responsibilities:
1. Schedule outpatient tests and procedures as necessary.
2. Handle patient registration tasks, ensuring accurate entry and verification of patient demographics and insurance details. Obtain necessary referrals and authorizations, documenting these accurately within the electronic medical record (EMR) system.
3. Create, prepare, and coordinate outgoing referrals.
4. Provide patients with Facility Fee Disclosures, estimates of charges, and relevant educational materials.
5. Prepare after-visit summaries, informing patients about upcoming appointments, schedule changes, co-payments, and important insurance information.

Patient Interaction:
Deliver information to patients, family members, and referral sources regarding hospital policies, available programs, wayfinding, and parking.

Work Environment:
Demonstrate the ability to multitask effectively in a dynamic environment while maintaining professionalism, flexibility, and organization.

Administrative Duties:
Assist with tracking and ordering office supplies.
Utilize a multi-line phone system and software in a call center environment to manage internal and external communications related to patient care coordination, including scheduling and canceling appointments, verifying demographic information, and efficiently entering documentation into the EMR system.

Compliance and Safety:
Participate in mock, regulatory, and accreditation surveys.
Perform routine clerical tasks such as photocopying, filing, faxing, and maintaining records while ensuring effective communication between clinicians, administrative staff, and patients.

Qualifications:
Education and Experience:
- High School Diploma or equivalent (GED) is required.
- Experience in a healthcare setting is preferred but not mandatory.

Knowledge, Skills, and Abilities:
- Familiarity with various insurance coverages (e.g., Medicaid, HMOs) including institutional insurance partners.
- Strong verbal, written, and interpersonal communication skills to convey hospital policies and procedures effectively.
- Ability to complete intake information and respond promptly to instructions.
- Proficient in PC usage, capable of entering and retrieving demographic, financial, and patient information on an online registration system.
- Ability to foster quality customer service relationships, demonstrating sensitivity to customer needs.
- Resourcefulness and problem-solving skills when addressing inquiries or resolving scheduling issues.

Patient Safety:
Ensure patient safety in job functions and through participation in safety initiatives. Take corrective actions for observed risks and report adverse events to management.

Confidentiality:
Maintain confidentiality of patient information in accordance with relevant privacy regulations.
