Role Responsibilities


The Healthcare Coordination Specialist I plays a crucial role in managing patient care logistics, including the scheduling of appointments for consultations and treatments in alignment with physician availability, while adhering to the policies and procedures of the University of Maryland Medical System.


This role includes scheduling necessary outpatient tests and procedures as required.


Patient Registration Duties


Responsibilities also encompass patient registration tasks, which involve the accurate entry and verification of patient demographic and insurance details. This includes obtaining necessary referrals and authorizations, ensuring proper documentation within the Electronic Medical Record (EMR) system.


Referral Management


The specialist will be responsible for creating, preparing, and coordinating outgoing referrals.


Patient Communication


Providing patients with Facility Fee Disclosures, estimates of charges, and relevant educational information is essential where appropriate.


Additionally, the role involves preparing after-visit summaries, informing patients about upcoming appointments, schedule changes, co-payments, and pertinent insurance details.


Information Dissemination


The specialist will assist patients, family members, and referral sources by providing information regarding hospital policies, available programs, wayfinding, and parking.


Multitasking and Office Management


The ability to multitask in a dynamic environment while maintaining professionalism, flexibility, and organization is critical.


Assisting with tracking and ordering office supplies is also part of the role.


Communication Skills


Utilizing a multi-line phone system and relevant software, the specialist will efficiently manage internal and external calls related to patient care coordination, including scheduling and canceling appointments, verifying demographic information, and entering documentation into the EMR system.


Compliance and Safety


Participation in mock, regulatory, and accreditation surveys is expected.


Routine clerical duties such as photocopying, filing, faxing, and maintaining records are also part of the responsibilities.


Qualifications


Education and Experience
A High School Diploma or equivalent (GED) is required. Experience in a healthcare environment is preferred but not mandatory.


Knowledge, Skills, and Abilities


Demonstrated knowledge of various insurance coverages, including Medicaid and HMOs, is essential.


Effective verbal, written, and interpersonal communication skills are necessary to convey hospital policies and procedures to medical staff, colleagues, patients, and visitors.


Proficiency in PC usage, with the ability to enter and retrieve demographic, financial, and patient information in an online registration system, is required.


Strong problem-solving skills and the ability to work independently under pressure are crucial.


Compliance with patient privacy regulations, including HIPAA, is mandatory.


Patient Safety


Ensuring patient safety in job functions and participating in safety initiatives is a key responsibility. This includes taking corrective actions for observed risks and reporting adverse events to management.
