The San Francisco branch of Greenberg Traurig, a leading global law firm, is currently seeking a dedicated Records Management Specialist to join our Office Services Department. We provide competitive remuneration and a comprehensive benefits package.

Position Overview:

The Records Management Specialist will oversee the organization and maintenance of client documentation for both physical and electronic storage at our San Francisco location. The ideal candidate must demonstrate exceptional organizational skills and attention to detail, capable of working independently with minimal oversight. Additionally, this role will involve supporting the Office Services team with various tasks, including reception coverage and conference room management.

Due to the responsibilities of this position, the selected individual will be required to work on-site five days a week, with no option for remote work.

Key Responsibilities:

  • Reviewing, validating, and printing labels
  • Indexing documents into the Records Management System (RMS)
  • Tracking document locations
  • Conducting audits for onsite and offsite collections
  • Facilitating transfers for departing attorneys and clients
  • Coordinating pickups and deliveries with offsite storage providers
  • Labeling and auditing files under confidentiality protocols
  • Addressing inquiries related to records and processes
  • Indexing materials for filing and entering data into the Records database
  • Assisting with office relocations and file movements
  • Performing other administrative tasks as assigned

Qualifications & Experience:
  • High school diploma; a college degree is advantageous
  • 1 to 3 years of experience in records management, preferably within a law firm or professional services environment
  • Proficiency in Windows-based software and Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook; familiarity with Records Management Systems like FileTrail is a plus
  • Strong computer skills and quick adaptability to new software
  • Availability for full-time work with potential for overtime
Physical Requirements:
  • Ability to move around the work area and collaborate with colleagues
  • Position may involve prolonged periods of sitting
  • Manual dexterity for operating office equipment and handling documents
  • Capability to lift containers weighing over 30 pounds and use office tools
  • Some filing tasks requiring bending, standing, and lifting
The anticipated salary range for this role is:

$25 - $32

Actual compensation will be adjusted based on experience, location, and other job-related factors as permitted by law. Full-time employees may qualify for a discretionary bonus, health insurance with an optional HSA, short-term and long-term disability, dental and vision coverage, life insurance, flexible spending accounts, 401K, paid time off, and an employee assistance program. Additional voluntary benefits may include accident insurance, life insurance, disability coverage, long-term care insurance, critical illness and cancer insurance, and pet insurance. Commuter and transit programs may also be available in select markets.
