The Supervisor role within the Release of Information Team is responsible for interpreting and addressing requests for protected health information. This position plays a crucial role in ensuring patient privacy by safeguarding sensitive information throughout the execution of duties.

The Supervisor is tasked with fulfilling information release requests accurately and professionally, adhering to the timeframes outlined in contracted Service Level Agreements ("SLA") with clients. Compliance with customer policies, as well as state and federal regulations regarding the release of protected health information, is essential.

Key Responsibilities:

  • Oversee a team of ROI Specialists, managing daily workloads through the ROI Workflow System.
  • Ensure that all team members receive proper training and adhere to established protocols.
  • Monitor request statuses to guarantee compliance with all SLAs and relevant regulations.
  • Effectively manage resources, including personnel, time, and budget, to enhance team efficiency.
  • Process requests for information by locating and retrieving protected health information promptly and in accordance with policies.
  • Conduct performance evaluations for staff, identifying areas for development and improvement.
  • Ensure the reproduction of requested information meets SLA timeframes and complies with legal requirements.
  • Address and resolve issues or complaints related to information release, implementing corrective actions as necessary.
  • Verify the accuracy and quality of work before providing information to requestors, ensuring compliance with applicable laws.
  • Exemplify strong work ethics and professionalism to lead the team effectively.
  • Generate necessary documentation, including cover letters and invoices, and finalize requests in the ROI System upon payment receipt.
  • Facilitate communication with stakeholders, including authorized requestors and upper management.
  • Provide training to sales staff on ROI procedures as needed.
  • Deliver customer support for a national client base when required.
  • Perform additional duties as assigned.
