The Supervisor role within the Health Information Release Team is responsible for interpreting and addressing requests for protected health information. This position plays a crucial role in ensuring patient privacy by safeguarding sensitive information throughout the execution of responsibilities.
The Supervisor is tasked with fulfilling information release requests accurately and professionally, adhering to the timeframes established in Service Level Agreements ("SLA") with clients. Compliance with both customer policies and VRC Companies' regulations, as well as state and federal laws governing the release of protected health information, is essential.
Key Responsibilities:
- Oversee a team of ROI Specialists, managing daily workloads through the ROI Workflow System.
- Monitor the daily activities of the ROI staff to ensure efficiency and adherence to established protocols.
- Ensure comprehensive training for all team members, promoting compliance with procedures.
- Track the status of requests to maintain compliance with all SLAs and applicable regulations.
- Manage resources effectively, including personnel, time, and budget, to optimize team performance.
- Process requests for information by locating and retrieving the necessary protected health information promptly, in line with VRC policies.
- Conduct performance evaluations for staff, identifying areas for development and improvement.
- Ensure the reproduction of requested information meets SLA timeframes and complies with legal requirements.
- Address and resolve issues, investigating complaints related to information release and implementing corrective actions as necessary.
- Verify the accuracy and quality of work prior to releasing information to requestors, ensuring compliance with federal and state regulations.
- Exemplify strong work ethics and professionalism, leading by example.
- Generate necessary documentation, including cover letters and invoices, and finalize requests in the ROI System upon receipt of payment.
- Ensure all staff complete required training, including HIPAA and ROI procedures, to maintain compliance.
- Provide training to sales staff on ROI processes as needed.
- Deliver customer support to a national client base when required.
- Perform additional duties as assigned.
Qualifications:

Education and Experience:
- Associate Degree required; Bachelor's Degree preferred.
- A minimum of 2 years of supervisory experience is required.
- At least 2 years of relevant experience is necessary.
- Must successfully pass a criminal background check, credit check, pre-employment drug screening, and motor vehicle record check.
