The Supervisor role within the Health Information Release Team is responsible for interpreting and addressing requests for confidential health information. This position plays a crucial role in ensuring patient privacy by safeguarding sensitive information during all operational duties.
The Supervisor will manage the fulfillment of information release requests accurately and professionally, adhering to established timeframes outlined in contracted Service Level Agreements ("SLA") with clients. Compliance with customer policies, as well as state and federal regulations regarding the release of protected health information, is paramount.
Key Responsibilities:
- Oversee a team of Health Information Specialists, directing daily tasks through the ROI Workflow System.
- Monitor daily activities of the team to ensure efficiency and compliance.
- Ensure all team members receive proper training and adhere to established protocols.
- Track the status of requests to maintain compliance with SLAs and regulatory standards.
- Manage resources effectively, including personnel, time, and budget, to enhance team performance.
- Process information release requests by locating and retrieving the necessary health information promptly, in line with company policies.
- Conduct performance evaluations and identify areas for staff development.
- Ensure timely reproduction of requested information in accordance with SLA timeframes and legal requirements.
- Address and resolve issues or complaints related to information release processes.
- Verify the accuracy and quality of work before providing information to requestors, ensuring compliance with applicable laws.
- Demonstrate strong leadership by modeling professionalism and a strong work ethic.
- Prepare cover letters and invoices, and manage the mailing of information to requestors.
- Facilitate effective communication with stakeholders, including authorized requestors and upper management.
- Provide training to sales staff on ROI procedures as necessary.
- Offer customer support to a national client base when required.
- Perform additional duties as assigned.
Qualifications:
Essential Competencies:
- Leadership Skills: Ability to guide and motivate a team effectively.
- Communication Proficiency: Strong verbal and written communication skills are essential.
- Detail-Oriented: Must pay close attention to detail to ensure confidentiality.
- Regulatory Knowledge: In-depth understanding of confidentiality laws and regulations.

- Interpersonal Skills: Strong ability to build relationships with staff and stakeholders.
- Organizational Skills: Must manage resources and tasks effectively.
Education and Experience:
- Associate Degree required; Bachelor's Degree preferred.
- Minimum of 2 years of supervisory experience required.
- At least 2 years of relevant experience in the field is necessary.
- Must successfully pass background checks and pre-employment screenings.
