We are seeking a highly organized and detail-oriented Records Management Specialist to join our team at Hays County. The successful candidate will be responsible for managing and maintaining accurate and up-to-date records, as well as providing administrative support to our staff.
Key Responsibilities- Record Management: Plan, prioritize, and assign daily work tasks to ensure accurate and timely record-keeping.
- Document Custody: Maintain custody of all Class B and above warrants issued in Hays County, ensuring secure storage and retrieval.
- Database Management: Research, enter, and remove records in state and national databases (TCIC/NCIC) in a timely and accurate manner.
- Validation and Audits: Research and validate Texas Department of Public Safety monthly validation audits, ensuring compliance with regulations.
- Office Administration: Maintain adequate office supplies, manage records and statistical reports, and perform other administrative tasks as needed.
- Communication: Answer, screen, and direct telephone calls, respond to questions, and make referrals to other sources of information.
- Team Support: Provide administrative support to agency employees and units, including CID, Patrol, Records, and Warrants.
- Training and Development: Attend and participate in training seminars and programs to stay up-to-date on changes in procedures, regulations, and laws for record-keeping.
- Education: High School Diploma or GED.
- Experience: Two to three years of full-time experience in police records, customer service, office management, secretarial, or highly responsible office or clerical work.
- Certifications: TCIC/NCIC certified or able to obtain certification within 1 year of hire date. May require emergency dispatch certification or able to obtain certification within 1 year of hire date if assignment includes TLETS/NLETS access.
- Bilingual: Spanish and English.
- Notary Public: May be required.
- Continuing Education: Ability to maintain continuing education requirements for the State of Texas.
