Job Overview

WGK Personal Injury Lawyers is experiencing significant growth, and we are in search of a dedicated full-time Legal Intake Specialist to contribute to our success. In this role, you will be the empathetic voice of our firm, handling incoming inquiries from potential clients during critical times, assessing their needs, and assisting our attorneys in managing their schedules effectively.

Compensation:

$16 - $18 hourly

Key Responsibilities:
  • Perform various office tasks, including managing spreadsheets, drafting correspondence, and ensuring smooth operational processes through accurate documentation.
  • Oversee attorney calendars, coordinating prospective client meetings to enhance caseload development.

Phone Management:

  • Respond to incoming calls with professionalism and courtesy, addressing client inquiries and providing precise information.
  • Identify the nature of calls and direct them to the appropriate team members within the firm.
  • Maintain a log of all calls in the CRM system for tracking and follow-up purposes.

Lead Management:

  • Document leads from various sources, including phone calls and online inquiries.
  • Input lead data into the CRM system, ensuring accuracy and completeness.
  • Follow established guidelines to evaluate lead viability and prioritize accordingly.
  • Collaborate with attorneys and staff to ensure effective lead distribution and follow-up.

CRM Maintenance:

  • Regularly update the CRM with new leads and status changes.
  • Implement standardized data entry protocols to maintain consistency and accuracy.
  • Generate reports and analyze data to identify trends and areas for improvement in the intake process.

Reception Duties:

  • Handle rollover and new case calls, ensuring friendly and professional interactions.
  • Welcome and assist visitors to the office.
  • Prepare client welcome packages.
  • Work with the reception team to maintain an organized and inviting reception area.

Administrative Support:

  • Assist with various administrative tasks and other duties as assigned.
Qualifications:
  • Proficient in Microsoft Office, particularly Excel.
  • Strong verbal and written communication skills with a compassionate approach.
  • Experience in customer service or related fields is essential.
  • Prior experience in a legal or professional services environment is advantageous.
  • Excellent organizational skills with the ability to multitask.
  • Professional interaction skills with clients, staff, and attorneys.
  • Experience with CRM systems and data management is required.
  • Attention to detail and accuracy in recordkeeping.
  • Ability to thrive in a fast-paced environment and meet deadlines.
  • Familiarity with legal terminology is a plus.
  • High school diploma or GED is required; a Bachelor's degree is preferred.
  • Fluency in English is essential; Spanish proficiency is a plus.
  • Availability to work Monday through Friday, 9 am to 5 pm.
