Position Summary:
As an Administrative Coordinator at Heavens Place Recovery Center, you will play a vital role in supporting our operations within the addictions recovery sector. Your responsibilities will encompass a variety of administrative tasks that are essential for the smooth functioning of our facility.

Key Responsibilities:

  • Utilize your expertise in Maryland Medicaid Incedo and SUD Authorizations to assist in patient management.
  • Conduct intake assessments and facilitate the referral and intake process, ensuring clear communication with referral sources, families, patients, and staff.
  • Respond efficiently to patient inquiries and redirect clients as necessary to meet their needs.
  • Schedule appointments for counseling sessions and initial intake, while managing necessary authorizations.
  • Serve as the primary contact for admissions, handling phone inquiries with professionalism.
  • Collaborate effectively with the Clinical Director, Medical Director, and other team members to enhance operational efficiency.
  • Complete assigned tasks in a timely manner, demonstrating adaptability to new challenges.
  • Maintain a positive and professional demeanor, contributing to a supportive work environment.
  • Perform additional duties as required to support the team and facility.
  • Provide crisis intervention when needed, ensuring the safety and well-being of clients.
  • Document client intake information accurately in the Electronic Health Record (EHR) system.
  • Adhere strictly to HIPAA regulations and other confidentiality laws to protect client information.
  • Establish and nurture effective communication with clients, their families, and staff members.
  • Address team-related issues constructively, fostering a collaborative atmosphere.
  • Accept guidance and supervision, demonstrating a willingness to learn and grow.
  • Effectively present information in both individual and small group settings.
  • Conduct comprehensive case management assessments upon client admission to identify needs for aftercare, insurance, and legal matters.
  • Prepare necessary documentation for clients, including FMLA and treatment letters.
  • Meet with clients weekly to provide ongoing case management support.
  • Build strong, trusting relationships with clients and their families, ensuring open lines of communication.
  • Develop and implement effective aftercare plans, collaborating with outreach and clinical teams.
  • Update client discharge dates as determined by the clinical and medical teams.
  • Share relevant information during team meetings to enhance service delivery.
  • Ensure that medical records are appropriately transferred to receiving facilities.
  • Maintain a foundational understanding of health insurance benefits and payment methods.
  • Remind clients of program rules and report any infractions as necessary.
  • Interact with clients respectfully while maintaining professional boundaries.
  • Safeguard the privacy of all client information in accordance with organizational policies and legal requirements.
