Overview

The role involves managing corporate real estate initiatives, focusing on project oversight and financial assessment. Responsibilities include handling current lease agreements, leading sourcing strategies, and managing vendor contracts and expenses. The position also entails assisting in budget preparation and expense monitoring, while serving as the liaison for insurance and business continuity planning.

Primary Duties

  • Oversee real estate projects across multiple regions, collaborating with headquarters and local teams, including departments such as Finance, Legal, and Global IT, throughout the project lifecycle: from requirement gathering, site selection, and financial scenario modeling to lease finalization, office setup, and relocation.
  • Engage with key stakeholders both internally and externally.
  • Develop project presentations, budgets, and conduct financial analyses.
  • Evaluate potential office locations based on comprehensive criteria.
  • Coordinate the procurement of design, construction services, and furnishings.
  • Ensure project timelines are met by managing activities effectively.
  • Monitor project expenditures against budgets and provide detailed reporting.
  • Facilitate the proper closure of projects upon completion.
  • Maintain regular communication with real estate professionals to gather market insights.
  • Lead sourcing initiatives in collaboration with procurement teams and assist in the RFP process and contract negotiations for real estate-related services. Manage vendor contract documentation and set alerts for key milestones.
  • Support the annual budgeting process for departmental operating expenses and capital expenditures, ensuring alignment with financial forecasts and reporting to management. Oversee monthly expense accruals and perform account certifications.
  • Assist in managing global and local insurance policies related to property and casualty, participating in the renewal process and maintaining updated records.
  • Maintain comprehensive files for all commercial leases, ensuring compliance with contractual obligations and tracking important dates.
  • Oversee the processing of monthly rent payments and manage vendor billing to ensure timely payments.

Additional Responsibilities:

  • Act as the department's control correspondent, collaborating with management to implement necessary procedures and risk indicators.
  • Serve as the business continuity planning coordinator, organizing recovery strategies and updating assessments.
  • Assist in overseeing outsourced corporate services.
  • Participate in various departmental functions as required.

Reporting Structure

This position reports to the Manager of Property & Corporate Services, who is accountable to the Chief Operating Officer.

  • Property & Corporate Services teams in both headquarters and regional offices.
  • Finance, Legal, Global IT, and other relevant departments.

Key External Collaborations

  • Real estate professionals including brokers, architects, and contractors.
  • Insurance brokers.

Qualifications and Skills

Education:

  • Bachelor's degree required.
  • Preferred background in corporate real estate, architecture, or design.

Experience:

  • 3-5 years of experience in real estate services.
  • Experience in financial planning and cost management is advantageous.
  • Project management experience is preferred.

Competencies:

  • Proficient in Microsoft Office, particularly Excel and PowerPoint.
  • Familiarity with AutoCAD is a plus.

Skills:

  • Strong understanding of the commercial real estate sector.
  • Excellent reporting, communication, and presentation skills.

Technical Skills:

  • Appreciation for interior design is desirable.
  • Ability to interpret architectural and MEP drawings is preferred.
