About the Role

We are seeking a highly skilled and experienced Administrative Specialist to join our team at the Kentucky Personnel Cabinet. As an Administrative Specialist, you will play a critical role in supporting the day-to-day operations of our office, ensuring the smooth execution of administrative tasks, and providing exceptional support to our staff.

Key Responsibilities
  • Provide professional administrative support in the review, evaluation, development, and implementation of our office's activities.
  • Compile and research information as needed for reports and communications, including district monthly reports, car logs, sick leave, workman's comp, FMLA, electronic monitoring usage, and OSHA reports.
  • Draft correspondence such as monthly reports to supervisors, staff meeting itineraries/minutes, and staff itineraries.
  • Maintain district files and initiate various actions for supervisor's review and direction.
  • Prepare personnel documents and maintain employee personnel files.
  • Provide forms to new staff, obtain appropriate signatures, and submit them accordingly.
  • Advise on and review documents.
  • Follow up on actions and communicate with appropriate personnel.
  • Maintain in-depth knowledge of personnel and payroll rules, regulations, and policies and disseminate information and materials as needed.
  • Maintain an in-depth working knowledge of departmental rules, regulations, and policies.
  • Research various situations to provide technical assistance and advice when necessary.
  • Receive general directives and adhere to rules concerning distribution and maintenance of same.
  • Receive, review, and record employee time.
  • Enter hours into the payroll system for two pay periods per month.
  • Communicate with staff about any information pertinent to payroll and timekeeping activities.
  • Serve as back-up timekeeper.
  • Maintain employee personnel files.
  • Ensure that all applicable information is managed and distributed to appropriate staff in a timely manner.
  • Submit monthly Sick Leave Report.
  • Enter staff training hours.
  • Review and submit employee travel vouchers.
  • Regularly update Community Services Directory and inventory listings.
  • Assist supervisor in providing, reviewing, and processing documents necessary for the employee performance evaluation system during the required timeframes.
  • Complete and submit appropriate documents concerning Family Medical Leave (FML) and workers comp.
Requirements
  • EDUCATION: Graduate of a college or university with a bachelor's degree.
  • EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
  • Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
  • Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
