About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at UofL Health - Mary & Elizabeth Hospital. As an Administrative Assistant, you will play a critical role in supporting the day-to-day operations of our nursing administration department.

Key Responsibilities
  • Provide exceptional administrative support to our nursing administration team, including scheduling meetings, preparing correspondence, and maintaining accurate records.
  • Assist with departmental and hospital-wide meetings, including preparing agendas, taking minutes, and ensuring timely follow-up.
  • Manage time and attendance records, personnel files, and budget information, ensuring accuracy and compliance with UofL Health policies.
  • Prepare expense reports, reconcile charges with receipts, and ensure compliance with UofL Health policy requirements.
  • Provide clerical support, including composing routine correspondence, maintaining office supplies, copying, filing, and distributing documents.
  • Schedule meetings, compile agendas, and background materials, take minutes, and ensure timely completion of meeting assignments.
  • Assist with maintaining departmental unit-specific policies and procedures, including formatting and entering approved department policies online.
  • Ensure bonus charge or on-call is reported for employees, as needed, and demonstrate understanding of activity codes and pay codes and how they affect the balancing grid for staffing coverage.
Requirements
  • High school diploma or GED/equivalent (required)
  • Bachelor's degree in any field/discipline (preferred)
  • Three (3) years of recent administrative or clerical experience (preferred)
