Position: Administrative Staffing Coordinator

Location: San Diego, CA (Onsite)

Compensation: $28-32/hr (Comprehensive benefits and weekly pay)

Employment Type: Full-time/Permanent

Schedule: Monday to Friday, 7:30 AM - 4 PM or 8 AM - 5 PM

Role Summary

We are in search of a highly organized and motivated Administrative Staffing Coordinator to enhance our expanding team. This position is vital in providing essential support to our staffing recruiters. The ideal candidate will excel in multitasking and prioritizing in a dynamic environment, embracing the variety that each day presents.

Key Responsibilities

  • Assist the Director of Staffing by organizing and optimizing departmental training materials, scheduling meetings, preparing reports, and managing various recruitment projects (20%)
  • Coordinate with global partners and clients for interview scheduling, crafting engaging job descriptions, and conducting follow-ups with candidates and clients (20%)
  • Facilitate interview coordination for recruiters (40%)
  • Support the Director with reporting tasks, including weekly audits, recruitment metrics, and ad hoc reports (10%)
  • Perform additional administrative and operational duties as required (10%)
  • Manage Applicant Tracking System (ATS): Ensure accurate and current candidate information is maintained
  • Provide insights and recommendations for enhancing recruitment processes and improving candidate and client experiences

Qualifications & Skills

  • 2-10 years of experience in roles such as Administrative Assistant, Executive Assistant, or Recruiting Coordinator supporting fast-paced teams
  • Proficient in high-volume scheduling, including familiarity with scheduling across various time zones
  • Experience in supporting multiple executives or similar internal team members
  • Skilled in sending calendar invites via Outlook and scheduling virtual meetings
  • Familiarity with job postings and knowledge of LinkedIn is a plus
  • Confident communicator with candidates, stakeholders, and internal team members
  • Proactive approach with a commitment to going the extra mile in team support
  • Demonstrated ability to anticipate challenges and opportunities, developing strategic plans accordingly
  • Experience with ATS and HubSpot, or similar systems, with the ability to quickly learn new tools
  • Strong troubleshooting skills, creativity, and the ability to thrive in a fast-paced environment
  • Excellent organizational skills with a systematic approach to tracking tasks and projects
  • Basic proficiency in Excel for report generation and function usage
  • Experience in roles requiring regular follow-ups, reminders, and calendar management
