Role Purpose:

The Senior Executive Office Coordinator is responsible for guiding a team that manages the operations and administration for the Executive Team and the Board of Trustees. This position requires a proactive, organized leader capable of fostering a supportive and dynamic environment for the organization’s senior leaders. The Coordinator serves as the primary liaison between the Executive office and the Board of Trustees, as well as with organizational staff and external stakeholders, ensuring effective communication and the efficient functioning of executive operations.


Key Responsibilities:
  • Establish priorities and action plans to achieve weekly, monthly, quarterly, and annual goals.
  • Exercise a high level of independent judgment to alleviate the Executive leaders of administrative and operational details.
  • Proactively address issues and make independent decisions in accordance with established policies.
  • Design and implement new procedures within the Executive Office to enhance efficiency and productivity.
  • Identify challenges and propose or execute solutions on an organizational level.
  • Stay informed about organizational activities to provide timely updates to Executive leaders as necessary.
  • Offer administrative and logistical support to the Executive leaders and the Board of Trustees.
  • Coordinate logistics for meetings while managing and maintaining the calendars of Executive leaders in an organized and efficient manner.
  • Screen and prioritize requests for the attention of Executive leaders.
  • Collaborate closely with the Strategy and Communications Team to communicate the priorities of the President and CEO to stakeholders.
  • Ensure the accurate and timely flow of information to and from the Executive Offices.
  • Assist in the preparation, review, and modification of presentations and communications for both internal and external audiences, including the Board of Directors, Trustees, and Executive leaders.

Qualifications:
  • Bachelor's degree with a minimum of 3 years of relevant experience; or an equivalent combination of education and work experience.
  • Previous experience as an Executive Assistant to senior executives.
  • Adaptable and skilled in managing a constantly changing schedule.
  • Exceptional professional judgment, discretion, and emotional intelligence.
  • A high degree of diplomacy and tact.
  • Strong problem-solving abilities, with the capacity to think quickly and make independent decisions.
  • Detail-oriented, accurate, and possess strong organizational and time management skills.
  • Able to manage multiple tasks and prioritize effectively.
  • Exhibit a high level of professionalism, polish, and competence in handling complex situations.
  • Excellent written and verbal communication skills, comfortable interacting with high-level executives.
  • Experience in a supervisory role.

Compensation:

Estimated annual salary ranges from $80,000 to $105,000, commensurate with experience.
