Position Summary: The Executive Administrative Specialist plays a crucial role in ensuring the seamless functioning of Isei Consulting, LLC. Supervisory Duties:
- Supervises and guides the activities of clerical staff at Isei Consulting, LLC.
- Offers mentorship and training support to new clerical team members, ensuring alignment with company standards and procedures.
Key Responsibilities:
- Handles telephone communications, efficiently screening and redirecting calls as necessary.
- Greets and assists visitors and clients, providing directions that embody the values of Isei Consulting, LLC.
- Maintains organized filing systems specific to Isei Consulting, LLC, ensuring quick access to important documents.
- Retrieves and supplies information as requested, utilizing records, emails, minutes, or other relevant documents, and prepares detailed written summaries when required.
- Addresses and resolves administrative inquiries, enhancing the efficiency and quality of internal communications.
- Coordinates and schedules essential activities, including travel, meetings, and appointments for the management team.
- Prepares agendas and schedules for meetings held at Isei Consulting, LLC.
- Records and distributes minutes or other important documents following meetings.
- Monitors office supplies to ensure availability and organizes maintenance for office equipment.
- Maintains a clear system for tracking expenses and manages petty cash as needed.
- Assists with additional tasks as assigned by management.
Essential Skills and Qualifications:
- Exceptional verbal and written communication skills, reflecting Isei Consulting, LLC's commitment to effective communication.
- Strong interpersonal abilities combined with a talent for customer service.
- Proficient in Microsoft Office Suite or similar software applications.
- Excellent organizational skills with a strong attention to detail.
- Comprehensive understanding of clerical processes, including recordkeeping and filing, particularly in the healthcare consulting field.
- Self-motivated and capable of working independently, demonstrating Isei Consulting, LLC's values of autonomy and accountability.
Experience Requirements:
- A minimum of an Associate degree is required; candidates with a Bachelor's degree in a related field are preferred.
- One to three years of experience in an administrative role is required, with preference given to those with experience in healthcare or consulting environments.
Physical Requirements:
- Ability to sit for extended periods while working at a desk and using a computer.
- Occasional lifting of items weighing up to 15 pounds.
