Administrative Coordinator

We are looking for a skilled and committed Administrative Coordinator to become a part of our organization. In this dynamic position, you will manage the daily functions of our office while also overseeing financial management and certain human resources responsibilities.
The ideal candidate is systematic, detail-focused, and adept at juggling a variety of tasks effectively.
Key Responsibilities
Financial Management:
Record Keeping:
Ensure precise financial documentation, including accounts payable and receivable, expense tracking, and reconciliations.
Budget Oversight:
Aid in the formulation and tracking of budgets, delivering regular financial updates to leadership.
Payroll Administration:
Prepare and manage payroll, ensuring adherence to payroll laws and accurate record maintenance.
Billing and Invoicing:
Create invoices, monitor payments, and address billing inquiries.
Insurance Management:
Oversee the company's insurance policies, ensuring they are current and provide sufficient coverage.
Tax and Financial Compliance:
Sales Tax Oversight:
Supervise the calculation, collection, and submission of sales tax in accordance with local and state laws.
Collaboration with Tax Professionals:
Partner with our tax professionals to guarantee accurate financial records, tax compliance, and timely submissions.
Human Resources Support:
Recruitment Assistance:
Support the hiring process by posting job advertisements, reviewing applications, and scheduling interviews.
Onboarding New Employees:
Facilitate the onboarding process for new team members, including orientation, documentation, and training coordination.
HR Record Maintenance:
Keep employee records, manage confidential information, and ensure compliance with HR policies and regulations.

Assist with employee benefits enrollment, modifications, and inquiries.
Office Administration:
Facility Oversight:
Manage office facilities, including maintenance, supplies, and equipment procurement.
Operational Efficiency:
Implement and maintain processes to enhance office productivity, including organization, time management, and task delegation.
Event Coordination:
Organize meetings, conferences, and special events, including catering and equipment setup.
Staff Management:
Supervise and guide part-time staff, ensuring their effective execution of daily responsibilities.
Qualifications
Bachelor's degree in Business Administration, Accounting, Human Resources, or a related discipline.
A minimum of 5 years of experience in management, financial oversight, and HR functions.
Strong organizational and multitasking skills.
Proficiency in financial management software and MS Office Suite (especially Excel).
Technologically adept with the ability to quickly learn new software.
Understanding of HR processes and best practices.
Excellent communication and interpersonal abilities.
Meticulous attention to detail and a high level of accuracy in financial documentation.
Ability to manage sensitive and confidential information with integrity.
