Position Title: Administrative Assistant
Contract Type: 12+ Month Contract (potential for extension)
Work Schedule: Monday to Friday, 8:00 AM to 5:00 PM with potential for hybrid work arrangements
Overview: Capital Staffing Solutions, Inc. is looking for an Administrative Assistant to deliver comprehensive support to the Corporate Affairs team. This role encompasses managing expense documentation, sponsorship inquiries, timekeeping tasks, and various administrative responsibilities.
Key Responsibilities:
- Oversee the processing, monitoring, and coordination of employee timesheets and procurement card documentation.
- Assist in the collection, tracking, and analysis of essential project statistics, including contributing to the preparation and distribution of weekly and monthly project updates.
- Organize and maintain critical project documentation, including change request forms, award summaries, sole source documentation, and decision records.
- Compile information and develop comprehensive monthly project status presentations in PowerPoint format.
- Serve as the administrative lead for S:Drive and SharePoint platforms.
- Participate in records retention initiatives related to significant construction projects.
- Provide coverage for executive administrative roles as necessary.
- Maintain a high level of professionalism and responsiveness in all interactions with team members and management.
- Exhibit flexibility to accommodate urgent work demands.
- Facilitate communication with Compliance and HR departments to support project teams.
- Ensure compliance with relevant administrative, accounting, and regulatory procedures.
- Perform various office management tasks, including maintaining inventory of office supplies, coordinating meetings and events, arranging travel logistics, managing office relocations, drafting and tracking project-related correspondence, and executing miscellaneous assignments as required.
