Position Overview:
The Executive Administrative Coordinator plays a vital role within our administrative team, providing essential support to ensure the seamless functioning of our organization.

Key Responsibilities:
• Support the Executive Team with diverse projects, including research, analysis, and data management.
• Organize and facilitate team gatherings, such as meetings, conferences, and retreats.
• Coordinate travel arrangements, encompassing flights, accommodations, and transport.
• Assist in the planning and execution of special initiatives across various departments.
• Manage onboarding processes and welcome activities for new hires.
• Maintain an orderly office environment, overseeing supplies, equipment, and general upkeep.
• Schedule appointments, meetings, and conference calls for team members and executives.
• Create, edit, and format documents while maintaining organized filing systems for easy access.
• Prepare meeting materials, including agendas and minutes, and follow up on action items.
• Handle meeting logistics, such as room bookings and catering when required.
• Accurately manage data entry in spreadsheets, databases, and CRM systems.
• Process and monitor expense reports, ensuring adherence to company policies.

Qualifications:
• Bachelor’s degree in business administration, marketing, or a related discipline.
• Proven experience in an executive assistant or similar capacity.
• Exceptional organizational and time management abilities.
• Strong attention to detail with the capacity to prioritize effectively.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office Suite, particularly Word and Excel.
• Ability to manage confidential information with integrity.
• Strong problem-solving skills and critical thinking capabilities.
• Proactive, self-motivated, and able to take initiative.
• Tech-savvy with a quick learning ability for new software.
• Ability to work independently and collaboratively in a fast-paced environment.
