Responsibilities:

  • Assist the CEO and Executive Team with various projects, research, analysis, and data entry.
  • Plan and coordinate team events, including meetings, conferences, and off-site retreats.
  • Arrange travel accommodations, including flights, accommodations, and transportation.
  • Assist with the coordination and execution of special projects and initiatives across all departments.
  • Coordinate on-boarding tasks and welcoming activities for new team members.
  • Maintain an organized office environment, including managing office supplies, equipment, and general office upkeep.
  • Schedule appointments, meetings, and conference calls for team members and managers.
  • Create, edit, and format various documents, maintaining digital and physical filing systems for easy retrieval.
  • Assist in preparing meeting materials, agendas, minutes, and follow up on action items.
  • Arrange meeting logistics, including room reservations and catering when necessary.
  • Accurately input and manage data in spreadsheets, databases, and CRM systems.
  • Process and track expense reports, ensuring accuracy and compliance with company policies.
  • Maintain strict confidentiality regarding sensitive information.

Requirements:

  • Bachelor's degree in business administration, marketing, or a related field.
  • Proven experience as an executive assistant or similar role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and ability to prioritize tasks.
  • Exceptional verbal and written communication skills.
  • Highly proficient in Microsoft Office suite (particularly Word and Excel).
  • Ability to handle confidential information with discretion.
