Job Overview

Position Summary

The Warranty Processing Coordinator is tasked with the evaluation and completion of warranty claims. This role involves preparing, documenting, reconciling warranty claims, and forwarding them to the relevant parties.


Daily Responsibilities

  • Ensure all claims are processed by the next business day following the repair order closure
  • Address and rectify all claim discrepancies and charge-backs
  • Build and sustain relationships with the manufacturer's designated warranty representatives
  • Scrutinize each warranty repair order for proper completion, accuracy, and clarity in accordance with established policies and procedures
  • Identify issues, recognize trends, and formulate strategies to enhance the claims process
  • Notify technicians of the hours credited for the services rendered
  • Verify each repair order against the vehicle's service history to prevent duplicate claims
  • Deliver a weekly update to the service manager regarding the status of claims
  • Report any suspicious alterations of warranty claims
  • Provide the parts manager with an updated parts inventory on a weekly basis
  • Conduct weekly audits of warranty schedules, reviewing all outstanding claims, and addressing any necessary adjustments or write-offs
  • Support service consultants in finalizing all open warranty repair orders
  • Assist service consultants and technicians with any inquiries related to warranty
  • Participate in special projects, audits, and reports as required
  • Oversee and manage all aging schedules and reports
  • Comprehend and adhere to federal, state, and local regulations, including safety standards, hazardous waste disposal, and OSHA right-to-know regulations
  • Attend warranty training sessions as necessary

Qualifications

  • High school diploma or equivalent
  • Strong verbal and written communication skills
  • Ability to effectively manage and resolve challenging customer service scenarios
  • Proven customer service abilities
  • Capability to read and understand written instructions and information
  • Basic knowledge of automotive components and vehicle mechanical functions
  • Minimum of two years of experience as a warranty administrator in an automotive dealership (Ford experience preferred)
