Disability Services Coordinator

We are seeking a skilled and dedicated Disability Services Coordinator to provide administrative support for our Children Services Program staff, focusing on quality outcomes and customer satisfaction.
About the Role:
- Support the Disability Services team in coordinating initial intake meetings with families referred to the Early Intervention program, ensuring a smooth and efficient process, and promoting early intervention strategies.
- Maintain accurate records, including filing documentation received from Service Coordinators, adhering to confidentiality standards, and best practices, and ensuring compliance with regulations.
- Ensure timely completion of Individual Family Service Plans and forward them to child's physician for certification, promoting seamless coordination between teams and stakeholders, and informing data-driven decisions.
- Manage office supplies, maintain inventory control, and coordinate purchases as needed, optimizing resource allocation, and minimizing waste.
- Add postage to envelopes for mailings, ensuring prompt delivery of essential documents, and maintaining professional communication, and creating a positive first impression.
- Prepare EPIC Welcome books for distribution to parents, providing a comprehensive introduction to our services, and creating a sense of community.
- Complete department billing on a monthly basis, accurately tracking expenses and revenue, and ensuring financial transparency, and informing budget planning.
- Update TRAC IT and Credible databases with new referrals and discharges, maintaining up-to-date records and statistics, and informing data-driven decisions.
- Maintain a clean and organized EPIC intake room, creating an efficient work environment, and promoting productivity, and fostering a sense of teamwork.
- Provide scheduling assistance to Disability Services staff for meetings held at VersAbility, facilitating effective communication and collaboration, and ensuring timely decision-making.
- Distribute birthday cards to children served in the program, spreading joy and connection, and fostering a sense of community, and promoting social inclusion.
- Obtain necessary documentation from outside vendors, such as Social Security Administration or legal entities, ensuring compliance and accuracy, and maintaining strong relationships, and fostering partnerships.
- Maintain communication with Infant & Toddler Connection of Hampton/Newport News to ensure compliance with processes and procedures, fostering strong partnerships and collaborations, and informing policy development.
Requirements:
- High School diploma; advanced degree preferred in business or a related field, demonstrating academic excellence and potential for growth, and commitment to disability services, and a passion for making a difference.
- At least 3 years' experience working with individuals with disabilities, showcasing empathy and understanding, and a commitment to inclusive practices, and staying up-to-date with industry trends.
- Proficiency in customary computer software applications within a business environment, leveraging technology for efficiency and innovation, and staying current with industry developments.
Estimated Salary: $45,000 - $60,000 per year
